As the regional laws change, we update the Retention Schedules to reflect these changes on a monthly basis - it's all part of the service.

The number of businesses that don't provide, create or maintain formal records in close to 89%, which doesn't sit well with many regulators and one of the reasons why Data Protection Laws specify that you must be able to demonstrate a formal record keeping process.

The Record Management System that is built-in to the GDPMS, serves two distinct purposes:

  1. It provides a rational for the justification of record retention regarding Personal Data based on consent, legitimated interest or any other reason that the Personal Data of your Data Subjects might be maintained past the "Period Of Use"

The first item is essential to ensure that you meet the Data Protection Principles around Data Minimisation while offering sound Industry Standard methods for calculating data retention strategies, which must be relayed to the Data Subjects at the time of capture. Simply stating that you will keep it according to law is not likely to be sufficient.

The second item is paramount in most Data Protection Laws today - you must be able to demonstrate why you did things and what process was undertaken to reach your conclusions. Knowing that this information is being captured and archived away in the background provides additional assurances that you are doing all you can to be compliant.
